Role Description The Administrative Assistant is a full-time, on-site role based in Brasília, DF, supporting daily operations and ensuring the office runs efficiently. This role includes managing calendars, scheduling meetings, organizing documents, and maintaining accurate records. The Administrative Assistant will handle incoming calls and emails, greet visitors, and provide general information in a professional and courteous manner. They will support executives with travel arrangements, expense reports, and meeting preparation, including preparing agendas and materials. The role also involves coordinating office supplies, assisting with basic HR or finance documentation, and collaborating with cross-functional teams to ensure smooth internal communication. Qualifications • Strong Administrative Assistance and Clerical Skills, including scheduling, filing, document management, and data entry. • Professional Phone Etiquette and Communication abilities for interacting with internal stakeholders and external partners. • Experience providing Executive Administrative Assistance, such as calendar management, travel coordination, and meeting support. • Proficiency with office software (e.g., email, spreadsheets, word processing, calendar tools) and willingness to learn new systems. • Excellent organizational skills, attention to detail, and ability to prioritize multiple tasks in a fast-paced environment. • Strong interpersonal skills, reliability, and a service-oriented mindset when supporting team members and leadership. • High school diploma or equivalent required; post-secondary education or administrative certification is an advantage. • Prior experience in a healthcare, research, or technology environment is a plus; proficiency in Portuguese and professional-level English is beneficial.
